Hurricane Emergency Operations

Preparedness Responsibilities

Each major administrative area has agreed to designate an Emergency Operations Area Representative and an alternate to act in the Representative’s absence.  The Area Representative’s overall responsibility is to organize preparedness teams within their administrative units.  The function of the teams is to both inform other staff about hurricane season procedures and to implement protective measures in the event of a hurricane.  Orientation meetings with Area Representatives are held at the beginning of each hurricane season.  

The Emergency Operations Area Representative’s responsibilities are:

  • Represent their administrative area at campus hurricane preparedness meetings.
  • Organize teams within their administrative area for protection of building contents, as outlined in the six-phase Emergency Operations Checklist.
  • Disseminate hurricane preparedness instructions and procedures to staff in their administrative areas.
  • Receive hurricane preparedness materials from the Physical Plant Department on the schedule outlined in the six-phase Emergency Operations Checklist.
  • Distribute hurricane preparedness materials to their teams for use in protecting building contents.
  • Assist with post-storm initial damage assessment

 

Preparedness Check List:

 

·        Meet with team members to review emergency operating plans.

·         Develop list of equipment and materials needed to secure contents of building.

·         Assign areas of responsibility to teams.

·         Obtain protective materials from Physical Plant.

·         Arrange to have photos taken of office/building contents.

·         Back-up and secure all electronic data.

 

Emergency Check List:

 

  • Ensure all sensitive equipment (i.e. files, computers, etc…) are protected.
  • Close and protect all windows, shutters and doors.
  • Secure all loose objects.

 

Immediate Recovery Check List:

 

  • Determine and report condition of office.
  • Remove potential hazards where possible.
  • Assess and record damages.
  • Obtain cleaning equipment from Physical Plant.
  • Assist with clean up as much as possible.
